    Frequently Asked Questions

Please reach us at info@chicagonotary.com if you cannot find an answer to your question.

A True Copy is a high-quality printed copy of your original document that is certified by a notary as a faithful reproduction. A notary attaches a custodial certificate stating that the copy  is an exact reproduction of the original  document you submitted. The notarized true copy is then sent to the Secretary of State to receive the Apostille. This process certifies the copy as accurate reproduction of your document, but does  not verify the authenticity of the original document itself. The receiving authority abroad is responsible for determining validity.

In some cases you need an original document Apostilled or a Certification Legalization for use in a foreign country. If you need to obtain those documents first we can get them for you if they are from Cook County or Illinois Secretary of State.

An apostille is a streamlined form of document legalization used between countries that are members of the Hague Apostille Convention, verifying a public document's authenticity with a single stamp.

In contrast, legalization is a more complex, multi-step process involving a government agency and the destination country's embassy or consulate, and is required for countries not part of the Hague Convention. Both processes certify the authenticity of the official's signature and seal on a document but do not verify its content.  We offer both services

     What is Legalization?

    • Purpose: To authenticate a foreign public document for use in a country that is not a member of the Hague Convention.
    • Process: Typically involves multiple steps:
      1. Notarization: The document is first notarized by a public notary.
      2. State/Federal Certification: The document is then certified by a state or federal authority, such as the Secretary of State.
      3. Consular Legalization: Finally, the document is authenticated by the embassy or consulate of the destination country.

We can only apostilled documents for countries who are members of the Hague Convention listed here:

     https://www.hcch.net/en/instruments/conventions/status-table/?cid=41

If your country is not listed here then you need a legalization.

*$150 fee applies to True Copy Apostille and Vital Documents.  Documents needing additional notary services have additional fees. Shipping is not included.
